What is your deposit/cancellation Policy?

Due to our remote location, our preparations for you begin well in advance of your stay with food orders and staffing schedules.  The required deposit of the first night’s room charge must be made at the time of booking. If you need to cancel or change your reservation, we will refund your deposit in full up to 30 days prior to check in. Cancellations less than 30 days prior to arrival will result in loss of deposit, or under special circumstances you may inquire about re-scheduling your stay for another time within the calendar year. Thank you for your understanding.

How do you handle gratuities and tipping?

Our goal is to provide the kind of excellent service you will appreciate. In lieu of tipping at the time of service, a 15 percent gratuity will be added to your bill at checkout. Of course, this gratuity is optional so you may adjust the amount accordingly. This gratuity will be divided among all those who served you, based on hours on duty during your stay. If you would like to recognize superior service by an individual, we will be happy to provide an envelope and note card for your use. For off-site activities utilizing an outside outfitter, gratuities are between you and your guide.

What is your smoking policy?

Because of our location and for the safety and comfort of our guests, Hidden Meadow Ranch is a non-smoking environment inside the cabins, Ranch House, barns and other buildings. To prevent the possibility of forest fires, ash containers are provided in designated outdoor areas. Please respect the beauty and fragility of our wilderness environment!

Do you allow pets?

We enjoy welcoming guest pets so we have created a limited number of pet-friendly cabins.  Your animals friends will enjoy a vacation with a high level of service, too!  Right now three cabins (Squash Blossom #1, Blue Quill #6, and Trail's End #12) accommodate pets with attached dog run/play yards, so arrangements need to be made at the time you make your reservations.

There is an additional charge for pets, so see Reservations page for more information. Plus, visiting pets must have proof of current vaccinations.  Pets must be kept on leash while on the Ranch except when in the cabin dog run or in our fenced play area, where pups may play with owner supervision. If the owner is not in the cabin, pets must be in the dog run/play yard or crated.  Food and water dishes are provided in pet-friendly cabins, along with fleece sleeping mats to protect the furniture and bedding.

Please remember that we are located in the National Forest in the middle of a Wildlife Habitat Area, so there are predators and Ranch animals around that call this home.  Respect other guests and keep your pets safe by having your pets on leash.

What about a medical emergency at the Ranch?

We have put a several contingency plans in place so that we may appropriately respond to any medical emergency:

  • Most staff have received first aid and CPR training, and we have an ongoing program to keep training up to date.
  • We have an Automatic Electronic Defibrillator (AED) in the Welcome Cabin, and most staff have been trained in its use.
  • Helicopter air ambulance service has performed practice landing on-site to be prepared for an emergency.  With that said, Hidden Meadow Ranch is in a relatively remote and mountainous location, and the nearest emergency room is 30 minutes away by car. We do our best to operate safely and minimize risk to our guests.

What about fire safety at the Ranch?

Even before the 2002 Rodeo-Chediski fire, we had instituted a number of programs and actions that make Hidden Meadow Ranch a fire-wise community:

  • A continuous program of tree trimming and tree thinning in addition to grounds maintenance.
  • A fire truck-accessible internal road system with two entrances and exit points and fire hydrants adjacent to all buildings throughout the property.
  • A continuous program of fire extinguisher maintenance and training.
  • Design guidelines requiring standing-seam metal roofs and decks with stone aprons to protect against burning embers.
  • On-site pond for firefighting water storage with fire truck access and hydrant connection.
